General Booking Conditions

Deposits and Payments

  • In order to confirm your tour, Grand Tours Project must receive your deposit.
  • In most cases the deposit fee required is €500 per participant.
  • The balance of the payment is due 90 days before the tour starts.
  • If payment is not paid when due, Grand Tours Project reserves the right to treat the reservation as cancelled.

Trip Cancellation insurance

We strongly recommend that all participants obtain comprehensive trip cancellation insurance. Unexpected events can occur, including injuries to our guests as they prepare for their trip, sickness, epidemics/pandemics and changes in employment situation. Please take out trip cancellation insurance at the time your trip deposit is paid.

Cancellation Policy

If for any reason you need to cancel your trip, a penalty is payable as shown below (calculation is in calendar days):

  • 180+ days: full refund
  • 91-180 days: 10% of trip price
  • 61 – 90 days: 30% of trip price
  • 31 – 60 days: 60% of trip price
  • 0 – 30 days: 100% of trip price

*In the case of Private / Custom tours, Maratona dles Dolomites, Giro d'Italia, Tour de France and La Vuelta tours the trip deposit is non-refundable.

Health and accident insurance

All of our participants must have comprehensive medical insurance, covering health, accidents and evacuation events. It is your responsibility to ensure you have this insurance in place before you travel.

Alterations to the tour itinerary

We are proud to bring you the highest standard of quality on our tours. Sometimes this means modifications may be made to this itinerary. Naturally, we will notify you of any changes that may affect your arrival, departure or lodging.


Our updated policies for Coronavirus (Covid-19) 2023

2023 booking conditions:

In the case of Covid-19 we have extended the refund period for our deposit.

If you cancel your trip 60+ days before departure:

  • 100% of the monies paid will be applied as a credit for a future GTP trip.
  • Alternatively, at your choice, we can refund the monies paid less a €150 admin fee

If you cancel your trip less than 60 days before departure:

  • 100% of the monies paid will be applied as a credit for a future GTP trip.
  • Alternatively, at your choice, 50% of the monies paid can be refunded, and the remaining 50% can be applied as a credit for a future GTP trip.

If we (Grand Tours Project) postpone or cancel the trip (for any reason):

  • 100% of the monies paid will be applied as a credit for a future GTP trip.
  • Alternatively, at your choice, we can refund 100% of the monies paid.

Worry-free travel for 2022:

For all bookings made in 2021 for 2022 tours are subject to 100% refund if cancelled before 31st December 2022.

The health and wellbeing of people in our communities is of paramount importance and we support the authorities’ policies to combat the spread of COVID-19 and yet find a way to lessen the impact on the local and national economies. In order to act as a responsible corporate citizen:

  • We have cancelled all cycle tours through to 30 April 2020.
  • All GTP Giro d'Italia tours have been postponed until further communication with RCS.
  • We are closely monitoring and evaluating the evolving situation. GTP tours scheduled to depart after 30 April 2020 will be assessed on a case by case basis. Decisions will be based on the situation in each country and the travel restrictions put in place by various governments.
  • We will inform you of the status of your trip 30 days prior to departure. If the tour is confirmed to run, the full balance is due 21 days prior to the start day. If a GTP tour is cancelled 30 days prior, you will receive a credit of the funds paid (+100 euros) to a future GTP trip of your choice with a departure date before 31 December 2022.
  • We understand that due to the ongoing uncertainty, we have provided more flexibility to allow changes to your plans. From today, you are welcome to switch your current tour to any of our other tours with a departure date before 31 December 2022, with a credit of funds paid (+100 euros).
  • Furthermore, we have suspended collecting deposits and balances for our trips until further notice.

Archives 30 April 2020

Due to the continued uncertainty around the Covid-19 pandemic in Europe and globally, we have updated our policies for trips booked in 2020 and extending past the previously cited 30 April 2020. It is in the best interests of our guests that we are able to offer flexible booking conditions in such uncertain times.

  • For trips scheduled to depart before 30 August 2020: if you are not sure whether you want to travel, you may transfer the credit of the funds paid (+100 euros) to a future GTP trip with a departure date before 31 December 2022. We will continue to assess and confirm with you the status of your trip at least 30 days before departure. If the tour is confirmed to run, the full balance will be due 21 days before the departure day. If the tour is cancelled, you will receive a credit of the funds paid (+100 euros) to a future GTP trip of your choice with a departure date prior to 31 December 2022.
  • For trips beyond a departure date of 30 August 2020: we will continue to monitor the situation and will share any changes promptly.

In this ever-changing environment, we reserve the right to make changes to these policies as necessary.
